5.1.4. Reconfirm booking details with the guest.


After receiving the agreement with the guest about the reservation details, the receptionist reconfirms the guest's reservation details to check the agreed information with the guest again to avoid any mistakes that will create consequences later.

Some room reservation information needs to be confirmed:

Name of the person making the reservation and name of the guest staying

Room type, room price.

Number of rooms and number of guests.

Date and time of arrival and number of nights stay.

Special requests of customers.

5.1.5. End


At the end of the booking, the receptionist greets the guest, thanks them for choosing their hotel and performs the following tasks after receiving the booking:

Confirm room booking.

Complete and maintain room reservation information.

Process reservation information to prepare for guests upon arrival.

Make changes and cancel room reservations (if any).

The details of the reservations received will be recorded on the computer or on the reservation form or reservation book.

5.2. Handling situations. Handling situations where the hotel cannot meet the guest's room reservation request.

In case the hotel cannot meet the guest's requirements, the receptionist persuades the guest to use alternative solutions such as:

- Convince guests to change room type.

- Persuade guests to change their stay

- Persuade guests to sign up for the waiting list. If the guest agrees, the receptionist will perform the following tasks:

+ Record the customer's name, phone number, and fax number.

+ Tell the guest that the hotel will notify them as soon as the hotel has a vacant room that matches their reservation request.

+ Update guest name and room reservation request in the waiting guest list and save it with the list of guests who canceled room reservations.

+ Immediately notify guests on the waiting list as soon as a suitable room becomes available.

- Introduce guests to other hotels.

If the guest does not agree to be added to the waiting list, the reservation staff suggests booking a room for the guest at another hotel. If the guest agrees to stay at another hotel, the reservation staff helps the guest book a room according to the guest's request.

If the guest does not agree to stay at another hotel: The reservation staff will refuse to book the guest's room, record the guest's full name, phone number, contact address, type of room requested and tell the guest that they hope to be served next time.
