Current situation analysis

Purpose of request
Introduces methods and tools to help determine the current state of existing systems.
Find out in detail the field in which an organization
want to complete the function.
Determine the expression of the organization's goals
position in the field of interest.
Exercise: Analyze the current status of Materials Management

I. UNDERSTANDING THE CURRENT SITUATION
To be able to grasp the details of a proposed field
Using information technology, we need to understand the current situation.
Unless the above field is in a relatively small facility, to determine the current situation we need to learn about and contact many different types of people in the facility:
The executors,
Managers,
And the leaders.

The executors : can give us
know information about a specific job.
Manager : tells us a function
ability, a field they undertake.
The leader : will give us a comprehensive overview of an institution and its medium and long term goals.

An organization can be roughly divided into two groups:
- Group of work positions,
- Group of directors/leaders.
The current status of the above two groups is the target of
study.
The techniques and tools used here are usually
interview .
Complementing this basic technique can be surveys , questionnaires sent to the subjects we want to study.

Although there are many techniques that can be used to conduct a situation analysis, the most effective technique to gain a fairly accurate understanding of the organization is to make contact .directly with leaders , managers , peopleexecutorto interview them.

I.1 Interview with the Board of Directors :
1. Objective
To understand the organization as a whole, of each
field, department
2. Requirements
Restate the problem precisely, list the objectives set, and narrow down to the key job positions relevant to the organization/area of interest.
Identify the interface between the organization/domain
concerned with the environment or other field.
Determine the scope of feasible analysis.7
3. Interview
Interviews will be conducted sequentially according to the hierarchical structure of the organization :
- First is the entire leadership,
- Next, each department/field/function,
each job position.
